Questions before you start.

Is a player account free?

Yes. Players can discover game dates, book and manage their core account without a platform subscription.

Can other people see my bookings?

Exact booking dates and private account information are never exposed on public profiles. You control the community information you share.

What happens after checkout?

The booking appears in My Bookings with its waiver, arrival time, run of day, travel information, receipt and check-in code.

Can I book for friends?

Group bookings can invite additional participants by email so each person can complete their own waiver without first having an account.

How do venue membership prices work?

Memberships belong to a specific business and its venues. An active membership unlocks eligible member tickets automatically, or you can add an available membership during checkout.

Team leaders invite a player by email rather than manually creating an account for them. Invitations, acceptance and member roles remain visible to authorised leaders.

Connect bookings to attendance

When a linked member books a game day, their team attendance can update automatically, giving leaders a reliable view of who is actually going.

Build the shared order list

Leaders choose which BBs, smokes, food or other products are available, set prices and quantities, associate the order with an event and publish a firm deadline.

Collect choices and suggestions

Members select their quantities, see what they owe and suggest missing items without changing the approved order list for everyone else.

Protect the team payment pot

Paid selections are clearly separated from unpaid requests. Anything unpaid at the deadline can be excluded before the leader places the final supplier order.

Keep a useful team history

Past attendance, completed orders, payment status and the associated event remain available for reconciliation and easier planning next time.

Team leaders book the initial event place themselves; once confirmed, the event appears in the team workspace so members can join the same plan.

Who can create a team?

A player can request a team workspace and becomes its team leader once the platform application is approved.

How do bulk orders work?

The leader defines the available products and deadline. Members choose quantities, suggest missing items and pay before the order closes.

Does booking update attendance?

When a linked player books the event, their team attendance can be marked as going automatically.

Can a trial team be paused?

Yes. Trial access ends at the configured date unless the plan is paid or the Super Administrator grants more time.

Products and supplier stores are discoverable from the global site search as well as the dedicated price checker and supplier directory.

How many products can a supplier list?

The current supplier plan supports up to 50 active products per approved supplier catalogue.

Does Airsoft Grid process the product sale?

No. Product listings link to the supplier's approved website, where the retailer remains responsible for stock, checkout, delivery and returns.

How are duplicate products prevented?

Imports compare normalised product names and destination fingerprints before a listing can be created.

Can one account also operate venues or sponsorships?

Yes. The same user account can own multiple approved workspaces and receive one itemised Airsoft Grid invoice.

Questions before you start.

Can customers see my expected or actual sales values?

No. Commercial tracking is returned only to the Gun Tech account owner and the Super Administrator.

Can I close a finished job?

Yes. Mark the enquiry completed to preserve the conversation and job outcome. It can be reopened by an authorised professional if more work is required.

How do invoices work?

Create a draft from the enquiry, add the agreed service, quantity, price, tax, due date and notes, then send it to the customer. Customers only see sent or paid invoices.

Does Airsoft Grid decide whether a replica is safe?

No. The Gun Tech remains responsible for their assessment, workmanship, legal obligations, customer terms and any safety advice.

Questions before you start.

Who can see photography sales values?

Only the photographer account owner and Super Administrator. Customers and public profile visitors cannot access those figures.

Can operators make an enquiry?

Yes. A photographer can choose whether to accept enquiries from players, operators or both when configuring their professional profile.

Are draft invoices customer visible?

No. Drafts remain private until the photographer sends them. The customer then sees the issued invoice inside the shared enquiry.

How is image consent handled?

Portfolio uploads retain consent declarations and alternative text. Photographers remain responsible for ensuring they have the rights and permissions required to publish each image.

Can each event use a different waiver?

Yes. Operators can version a base template, publish a new version when requirements change and bind the correct version to each event.

Can operators sell venue memberships?

Yes. Operators can create annual membership plans, choose which venues they cover, set the member discount and manage each player's access. Membership starts when payment is confirmed, runs for one year and never applies to another operator.

How does operator support work?

Choose the affected event or booking, explain the issue, set its operational impact and optionally attach an image. Payment issues are automatically critical.

What do ticket priorities mean?

Low is guidance with no operational impact; Medium has a workaround; High threatens an active workflow; Critical affects payments, security or the ability to run a game day.

What happens when a trial expires?

The workspace becomes temporarily inaccessible until payment is confirmed or the Super Administrator grants an extension.
